Migrate all 260 seats from Google Workspace Business Starter (Rs 248/user/mo, renewal due 31 Aug 2026) to Microsoft 365 Business Basic.

Phased migration checklist

Phase 0 — Prep (Santosh)

  • Vendor quote in writing with renewal lock-in
  • M365 tenant setup + domain verification (DNS TXT)
  • License purchase — Business Basic (decide Teams in/out)

Phase 1 — Pilot (Vishal)

  • Convert 2-3 sample mailboxes to PST → import to SharePoint
  • Pilot users on browser Office apps
  • Collect feedback, fix gaps

Phase 2 — User training

  • Outlook web / Office online training session for all staff
  • Quick-reference doc (Gmail → Outlook mapping)

Phase 3 — Batch-wise migration

  • Department batches (IT → merchandising → production → rest)
  • MX record cutover per batch / final cutover
  • Google Workspace decommission + data retention check

Phase 4 — Close-out

  • Verify PST archives accessible in SharePoint
  • Cancel Google renewal (before next cycle)
